Front Office Receptionist

MHALA is among the largest and most comprehensive nonprofit mental health agencies in Los Angeles County. The agency supports over 19,000 low-income and no-income individuals annually with integrated services. MHALA achieves impact in the areas of mental and physical healthcare, homelessness and housing, supported employment, and wellness and financial services, with special programs for Veterans and transition-age youth.

MHALA also provides training programs for individuals joining the behavioral health workforce and for the larger community around mental health issues.

Receptionist

35 hours per week / $24.00 per hour

Summary: Under the general supervision of the Program manager, the Receptionist will manage the front desk, screen and direct calls and provide overall office support and organization, and manage projects as assigned. Since this person will be the first point of contact for our organization, the ideal candidate will have a friendly demeanor, strong organizational skills, and an eagerness to assist our members/visitors/staff.

  • Maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
  • Serve visitors by greeting, welcoming, and directing them appropriately.
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems.
  • Maintain visitor, employee, and department directories and logs.
  • Work cooperatively with other staff to assure the smooth and seamless delivery of comprehensive administrative services to the Agency and its Members
  • Answer and reroute incoming calls; greet, maintain conference room calendars, direct and assist visitors and potential donors; monitor whereabouts and availability of office staff; sort and route incoming mail, prepare outgoing mail and/or packages, arrange for special mail services (i.e. FedEx or UPS); open/lock up office
  • Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
  • Participate actively in the planning and execution of company events.
  • Coordinate complex meetings, assist in the design and preparation of presentations and other meeting materials.
  • Attend and participate in staff meetings and other aspects of the day-to-day operations and community life of the worksite.
  • Compile and prepare a variety of special reports including reports that are sensitive and/or confidential in nature.
  • Act as backup in busy departments dealing with occasional overflow.
  • Ensure the overall professional and neat appearance of the office at all times, including the public meeting rooms, supply/storage rooms and kitchen areas.
  • Handle demanding tasks and assignments that may be sensitive and/or confidential
  • Other duties assigned as needed

Position requirements:

  • High school diploma or GED preferred.
  • Experience in an office setting answering phones and performing general clerical duties.
  • Accurate typing at 25-35 wpm.
  • Proficiency with Microsoft Office Suite including Word and Excel and Outlook.
  • Follow office procedures accurately, timely and consistently.
  • Must exhibit good personal judgment and discretion when dealing with individuals.
  • Ability to interact with a diverse population in a dynamic work environment and to establish relationships with staff and external organizations and individuals.
  • Must be self-directed and dedicated to fulfilling the demands of the position.
  • Solid communication and interpersonal skills to communicate effectively will all levels of staff, both verbally and in writing.
  • Maintain high level of confidentiality on a variety of information.
  • Excellent writing skills (i.e. prepare/review documents with correct grammar, spelling and presentation).
  • Excellent organizational skills and ability to multi-task.
  • Ability to interact with a diverse population in a dynamic work environment and to establish relationships with staff and external organizations and individuals.
  • Bilingual English/Spanish is a plus.
  • Driving with current class C driver’s license, a vehicle for transportation, proof of valid automobile insurance, the ability to be ensured by MHALA liability insurance are conditions of employment.
  • Flexible work schedule including occasional evenings, weekends and holidays
  • TB clearance and yearly re-testing are conditions of employment
